The Misc Actions pane contains a set of utilities to help manage the documents on the website.


Near the top of the pane the website directory that holds all the documents is listed.  Note that this directory is not accessible to the website directly.  If it were anyone that could see one document, could see them all.  Instead we want to make specific documents available to specific roles.  This is done by setting up temporary links between the /pubdocs directory (that is accessible) to file in the directory listed here.


The utilities are divided into 2 groups.  On the left are some standard actions.


  • list no file docs will list all documents where the file associated with the doc is missing
    • these documents need fixing
    • delete no file docs will delete all the documents without a file
    • from the list displayed you can
      • delete a specific document
      • click on the name of the document to upload the file again


  • list no doc files will list files in the document directory that have no document
    • these files need fixing as the document directory is not a good place to store non-document files
    • delete no doc files will delete all the files without a document
    • from the list displayed you can


  • list no role docs will list all documents that have no associated role
    • these documents are inaccessible as you need to have the right roles to see a document and these document have no roles
    • from the list displayed you can
      • delete a specific document (and associated file)
      • click on the name of the document to edit the document and add roles


  • cleanup doc roles take a pass through the role data and fix inconsistencies



On the right side of the pane, you can select a set of documents and then perform one of these actions:


  • Move the selected documents to another group
  • Delete the selected documents (and associated files)
  • Copy the default Roles of the group to the selected documents
  • delete a specific document that is listed
  • edit a specific document that is listed


To perform one of these actions:


  1. select the specific documents by
    1. choosing the Group where they reside
    2. you can filter by Program Year if you like
    3. you can specify the Name of a document -- this is generally done with wildcarding
      • *challenge*  will list all document with challenge in their name
  1. pick the operation from the list above to perform
